NIL income records: a practical organization system

Organize agreements, payments, products and expenses before meeting a tax professional.

NIL CEOs field guide · October 26, 2026 · Editorial standards

Keep a separate record for each NIL deal, including the agreement, compensation, related expenses and proof of payment. A clean record makes it easier for a tax professional to evaluate your situation.

Do not wait for a tax form to start

The IRS explains that NIL income can include cash, property and services. Tax treatment depends on the arrangement; active services and royalties can be reported differently. NIL income can also affect financial aid. Use the IRS guidance and a qualified tax professional to determine the reporting that applies to you.

A ten-minute weekly routine

  1. Add new agreements and amendments to the correct folder.
  2. Log completed work and keep the approval or delivery evidence.
  3. Match money received against outstanding invoices.
  4. Photograph receipts while the purpose is still easy to remember.
  5. Write down questions instead of making tax assumptions.

Use separate columns for promised and received payments. This prevents an unpaid invoice from appearing to be available cash. If a deal changes, keep both versions and note when the change took effect.

Prepare for your tax meeting

Bring your deal register, agreements, tax forms, payment records, noncash compensation details and receipts. Explain where you live, study and perform the work. Ask about filing requirements, estimated payments, dependency, possible state obligations and the treatment of each expense. Do not assume every sports or travel expense qualifies for a deduction.

Keep the worksheet in its lane

The deal worksheet shows cash after the costs you enter, before tax. It does not calculate taxable profit, recommend a tax reserve or replace accounting records. Use it to compare workload and spot missing information, then use your actual records with an adviser.

When a payment does not arrive

Check the agreed trigger and date, confirm the invoice was received, and keep communication professional. Save the exchange with the deal record. If there is a dispute, consult your adviser about the agreement and available next steps.
